Voicemail systems: storage, access, and reliability
Voicemail is a service workflow, not just an audio file. A reliable design covers greeting selection, message storage, notification, access control, transcription, retention, and recovery.
Design checklist
- Define mailbox ownership and delegated access.
- Set storage quotas, retention, and deletion behaviour.
- Test message waiting indicators on every supported endpoint.
- Protect PINs and require secure remote access.
- Decide whether email attachments, transcription, or mobile access are permitted.
- Back up message metadata and test restoration.
- Test busy, no-answer, direct-to-voicemail, and after-hours routes.
Audio format, sampling rate, and attachment size can affect compatibility. Test with the devices and clients users actually rely on.
